First To File®, a leading provider of SaaS-based IP management technology, today releases the results of the 2012 IP Document Management Survey, which was conducted in early June to benchmark trends in document management system (DMS) adoption among corporations and law firms.
The survey’s most notable finding establishes that IP professionals are moving in increasing numbers to implement DMS solutions for three major reasons: 1) better organization, efficiency and security; 2) increased visibility and ease of access; and 3) paper elimination. Coupled with this, ease of use and interface familiarity was consistently mentioned as the participants’ most important DMS features. Respondents noted the least important factors for adopting a DMS included: competitive reasons (buying a DMS because others are, too) and rapid deployment.
Another surprising result was the degree to which IP entities already had or planned to adopt web-based or software-as-a-service systems (SaaS). The finding suggests users are becoming more familiar and comfortable with SaaS and its benefits relative to traditional client-server-based solutions.
For IP organizations that had already bought a DMS, 54.5% were using a traditional networked file-server-based DMS or an ECM solution like Autonomy, Open Text or Worldox. More than 40% were using a software-as-a-service solution. Of the participants considering buying a DMS, nearly 22% were considering a web-based system while 47% were considering a traditional server-based or ECM/DMS solution, indicating that web-based systems are gaining in popularity and competing head-to-head with traditional systems.
