Over one half of small companies in the United States do not currently have an email archiving system implemented in their organization. According to a new survey conducted by eMediaUSA, of the 421 small and medium business IT executives recently interviewed, one in four companies relies on end-users to individually manage email archiving on their own.
For those companies currently using an email archiving solution, 35 percent rely on end-users to maintain their own email archives, while 35 percent use an in-house solution to archive emails, and the remaining 33 percent use tape backups.
Email Archiving Excuses Never to Use
21% of those SMB’s interviewed believe they are not impacted by compliance regulations. Other reasons given for not using an email archiving solution included no budget (26 percent), emails are stored on the mail server (23 percent) and the company is too small to need an archiving product (26 percent). The fact is that SMB’s use email just as much as their enterprise counterparts, but the biggest difference is that they seldom have IT staff dedicated to manage email applications.
On a Positive Note
The study indicated that more than half of those that utilize an email archiving solution have had a positive experience, 36 percent of respondents consider email archiving important, and 23 percent consider email archiving very important.
Additional results from the survey indicated:
• 47 percent have been required to search for email because of compliance purposes.
• 29 percent indicated that it now takes less than an hour to find an email from 15 months ago or longer.
• 25 percent archive emails indefinitely, while 21 percent keep them 6 months to a year.
Although nearly 40% of SMB’s feel that lack of awareness about email security has impacted their security, they are still trying to understand how to deal with the email laws in terms of retention and discovery.
SMB’s realize there is scrutiny around messaging files. When looking at the potential offerings in the marketplace, SMB’s should keep in mind considerations such as ease of deployment and the ability to securely search an archive. SMB’s must be able to retain, search, preserve and produce messages when requested. Installing and maintaining an archiving solution must be easy, or else the benefits of keeping messages accessible for compliance and electronic discovery purposes could be outweighed by operational headaches.
